How to Invite and Sign Up Users Who Cannot Receive the Invitation Email

Overview

This article explains how to invite people who cannot receive emails as new Autify Nexus users and complete their sign-up. Usually, access from an invitation email is required, but an administrator can set a temporary password to allow logging in even without receiving the email.

Prerequisites

  • The person performing this procedure must have the "Admin" user management privilege.

  • SSO (Single Sign-On) must not be enabled for the organization.

  • Ensure you have not reached the user limit of your subscription.

Procedure

Step 1: Invite a user (Admin operation)

  1. Open Settings in the Autify Nexus app.

  2. Click User Management.

  3. Click Invite a new user in the upper right corner of the screen.

  4. Enter the Email address, etc., of the person you want to invite, and click Invite.

Up to this point, the operation is the same as the normal invitation method.

Step 2: Set a temporary password (Admin operation)

Notes

  • A temporary password is highly sensitive information. Avoid sharing it in plain text, such as in an email body. Please share it using a password manager or a secure chat tool.

  • By turning on Temporary in Step 2, the invited person is forced to change the password upon their first login. This prevents them from continuing to use the temporary password.

  1. Find the user invited in Step 1 from the User Management list.

  2. Click the lock icon (Reset user's password) on the right side of the target user.

  3. Enter a temporary password in New password and Confirm password. (Confirm password will appear when you type text into New password.)

  4. Turn on Temporary to increase security.

  5. Click Reset password.

At this time, if New password and Confirm password do not match, the Reset password button will not become active.

Step 3: Share login information (Admin operation)

Securely share the following three pieces of information with the invited person:

  • Server URL: Listed on the page that opens when you click Support on the left side of the Nexus screen.

  • Email address: The email address entered in Step 1.

  • Temporary password: The temporary password set in Step 2.

Step 4: First login and change password (Invited user operation)

  1. Launch the Autify Nexus app.

  2. Enter the server URL shared by the administrator into Server URL, and click Log in.

  3. Enter the shared email address into Username or email address and the temporary password into Password, then click Log in.

  4. When the change password screen appears, enter a new password you will use from now on into New password and Confirm password, and click Change password.
